Spreadsheet vs app

Spreadsheet or app for personal trainers? The point where the spreadsheet starts slowing you down

A spreadsheet is a fine place to start: no subscription, you send it over chat, and your client swears they will fill it in. It starts cracking around client number eight, at week five of a plan, and with the progress photo lost in a cloud folder. That is when the question stops being ideological and becomes practical.

What a spreadsheet still does well

One client, a simple program, and total control of every cell. No logins, no client app, no wondering whether it synced. If that is where you are today, you do not need an app for the sake of appearances.

Personal Buddy is not anti-spreadsheet. It earns its place when the file becomes a second job: versioning documents, chasing logs, never really seeing load, and finding out weeks late that someone stopped training.

What an app actually changes (beyond looking modern)

Delivery: your client opens the session on their phone, with your video attached, instead of hunting for last week’s PDF in a group chat.

Load: the weight on each set is logged during the session, and the exercise history shows how it moved in kilos — not a tab nobody updates.

Volume: while you build the session, you can see how many sets land on each muscle group before you send it.

Periodization: the next session arrives on the date, not when you remember to attach a file.

  • Invite by link, with no re-typing a client into a new file
  • Intake forms and photos on the profile, not in a folder called final_v3
  • A Free plan for moving one client across and feeling the flow first

How to test the switch without disrupting your business

Do not migrate thirty clients on day one. Put one client on the Free plan, build the program with drag-and-drop, and ask them to train for a week. If your Friday got lighter, then move up a tier. If it did not, you are out nothing.

Frequently asked questions

Can I export back to a spreadsheet if I change my mind?
Day-to-day work happens in the app. If you need a file extract, talk to support — the right route depends on what you want out of it.
Will clients complain about yet another app?
On iPhone it is a native app; everywhere else it is just the browser. The argument that lands: the session is clear, it has your video on it, and nobody has to dig through a chat thread for a PDF.
